Casual loading clearly distinguished on payslips

Due to the Fair Work Amendment Bill 2021 passed through both Houses of Parliament on 22 March 2021, employers must ensure that casual loading is clearly distinguished on payslips. Can we set up a new/existing employee as a Casual so that when you enter the employee hours in the “Enter Time” section, the payslip automatically shows the separate Hourly Rate $ + Casual Loading (25%) $.

For example, our award pays $19.84 Hourly pay + $4.96 Casual Loading (25% of Hourly Pay) = $24.80. Currently, our employee’s payslips show an Hourly Pay Rate of $24.80 – we now need to separate the Hourly & Casual Loading figures. I want to avoid human error by having to enter the hours twice for 2 separate payroll items.

    We have consulted our accredited partners are there are a couple of ways to achieve this, noting the Fair Work stipulation in relation to loadings:

    any loadings (including casual loading), allowances, bonuses, incentive-based payments, penalty rates or other paid entitlements that can be separated out from an employee’s ordinary hourly rate. For example, a note could be included on a pay slip that the hourly rate incorporates the relevant casual loading.

    1. Rename the pay item to "Casual Hourly incl (x%) Loading

    2. Include 2 pay items, one being Base Rate and the other being the loading.

    3. Add a text box on a custom pay slip that says casual rate includes a loading of x% and then use a field in employee record to show base rate and put this on payslip too.

    Of course our customers should seek their own advice from a suitably qualified person.
