Consolidate & summarise data up to a period

There is a real need to reduce file sizes, largely for efficiency.  I have been operating my business with Reckon (previously QuickBooks) for 18 years.  I have 18 years of data.   This data needs to be consolidated and archived up to a period, say the last 4 years.   Reckon should build a utility that does this.
